ROLE /RESPONSIBILITIES

The Conservation Programs Assistant will serve as the office manager of the Mukwonago River Watershed field office as well as provide a full range of administrative and/or program support to several teams of conservation staff based throughout Wisconsin. Additionally, the assistant will coordinate the statewide Leased Lands and Hunting Programs. This position will preferably be based out of our Mukwonago River Watershed office in East Troy, WI; however, we have flexibility on location. The hourly rate for this position begins at $19.00 per hour and is dependent on experience.

The Conservation Programs Assistant will perform various administrative tasks, including some or all of the following: sorting and distributing mail, answering phones, organizing and maintaining files, purchasing, maintaining equipment, and working with vendors. They may handle travel arrangements and expense reporting for several teams of conservation staff. They will schedule and coordinate logistics of meetings and may assist with the coordination of special events. The Assistant may communicate on behalf of team members with internal and external sources, including staff, partners, general public, government officials and donors. They may handle inquiries about program activities and assist in the development of program materials and correspondence. The Conservation Programs Assistant will coordinate activities related to statewide leases on Conservancy owned lands and hunting programs on preserves. They will use available systems and resources, to maintain and track data and produce maps and reports as needed. The Assistant will provide other staff with information they need to make decisions and solve problems. They will have frequent interaction with staff throughout the Wisconsin Chapter and in other Conservancy offices, and with vendors.

REQUIREMENT

  • Manage a small, remote office space and several buildings distributed on nearby preserves;
  • Coordinate statewide leased land and hunting programs, which may include preparing legal agreements and issuing permits;
  • Prioritize tasks in the absence of specific instructions and make day-to-day decisions within the scope of work assignments; duties are performed according to instructions or established practices and supervisor will resolve any problems or questions;
  • Maintain limited financial responsibility, which may include processing invoices, preparing accounting forms, tracking budgets, purchasing, or creating travel expense reports;
  • Does not supervise any staff, but may help plan and direct the work of volunteers or interns;
  • May serve as a team member for assigned projects;
  • Work overtime as needed; and
  • Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.

MINIMUM QUALIFICATIONS

  • Associates Degree plus 1-year experience or equivalent combination;
  • Experience managing diverse activities to meet deadlines;
  • Experience providing administrative support, including some or all of the following: phones/customer service, mail distribution, equipment maintenance, coordinating travel arrangements and meetings, or organizing files;
  • Experience working and communicating with a wide range of people; and
  • Experience writing, editing, and proofreading written materials.

DESIRED QUALIFICATIONS

  • Multi-lingual skills and multi-cultural or cross-cultural experiences are appreciated;
  • Bachelor’s Degree plus 2 years related experience or equivalent combination;
  • Ability to analyze available information for the purpose of preparing reports and solving problems;
  • Database skills;
  • Experience producing simple maps using Geographic Information Systems (GIS) software and assisting in the production of reports;
  • Familiarity with standard business communications and social media;
  • Excellent customer service skills and focus; and/or
  • Strong organizational skills and attention to detail.

$19 an hour
